Many companies are looking for ways to reduce their footprint. Nevertheless it is sometimes difficult to make the economics of a switch to new green practices work. If you are focused on saving money and simultaneously helping the environment, then you are more than likely looking for ways to reduce the amount of paper you use and if you are not, then here are some reasons why you should be.

Save money on paper, supplies and storage
As you know, printing, copying, and retaining paper files costs money. The amount it costs a given company each year is usually surprisingly higher than you would expect. When you add it all up you are not only paying for the paper, ink, and other filing supplies, you are also paying for the space to store those materials.
Save money by saving time
It is not common to think about the time it takes to print, retrieve, and store a given file as a cos
tly process. However, let us examine a quick example to see how much it can actually be costing you. Let’s assume that it will take an average employee 5 minutes to print, retrieve and either replace or file the document in the correct storage place. If paper is a central part of your workplace it is not unreasonable to think that a given employee may deal with 10 documents a day. If this is a $20/hr employee, you are losing $4,300 just in the time that it takes this employee to process the paper, not to mention the materials this employee will need to accomplish the work.
Store documents without losing space or peace of mind
Office space is another valuable asset for many companies and if you are highly dependent on paper, your storage rooms can quickly become a significant portion of your annual expense. There is also the nightmare situation (that I hope you haven’t had to deal with but many of us have) of misplacing a very important document. With electronic storage of documents you can alleviate that worry by knowing you will never lose a file again.
The Big Picture
At the end of the day, if you are a company that uses a significant amount of paper it just makes more sense to utilize the technology that exists to reduce your usage. You are going to save your employees the time and headache of working with paper materials and make your company more efficient. You are going to save storage space and gain the peace of mind of knowing where every file is at all times. By utilizing the technology that exists for the purposes of paper reduction you are going to reduce your environmental impact and save your company money.
